Who are we?

Carols for the City is a co-operation between four charities registered in England and Wales which have come together for the sole purpose of putting on a carol service on 8^th December 2020. Their names, Registered Charity Numbers and addresses are set out at the foot of this policy.

The Data Controller is The Lord Mayor’s Appeal.

How do we collect information from you?

On this website carolsforthecity.org  we collect virtually no personal data other tracking through cookies, which you can control on entering the site. We may, however, obtain information about you in person, in writing and over the telephone or through reports received from our donation platform, Virgin Money Giving, and InPlayer (the ticketing and streaming service).

When you book or donate, this information is provided to third party sites each of which has its own privacy policy in place. We have agreed that no personal data will be used for any other purpose unless all four charities were to perform a similar event in the future. None of the charities will individually use the data to contact you about their charitable activities, unless you have ticked the relevant box to give your consent when you make a donation on the Virgin Money Giving website.

What type of information is collected from you?

Web traffic data is collected from this site for statistical and operational purposes. IP address information is captured, but cannot be associated with individuals. This data is not shared.

The personal information we collect through Virgin Money Giving and InPlayer (the ticketing and streaming service) may include your name, postal address, email address, telephone number, date of birth or payment card details (these last are not stored in a usable format and are kept only while your payment is processed) as well as amounts paid. If you make a donation or purchase tickets online, your payment card information is not held by us, it is collected by third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions, as explained below. 

How is your information used?

We may use your information collected via Virgin Money Giving and InPlayer to send you communications about the event.

Otherwise we make no use of your information other than for accounting, operational and statistical purposes. 

We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid). We will hold your personal information on our systems for no longer that is necessary for the relevant activity.

Who has access to your information?

Only the four charities staff / managers / appropriate volunteers.

We will not sell or rent your information to third parties and we will not share your information with third parties for marketing purposes.

Deletion

If you ask us to delete your records we will destroy all of your personal information that we hold on our files, but please note that we may be required to certain information for legal reasons (as mentioned above)

How you can access and update your information

You need to do this on the sites of Virgin Money Giving and / or InPlayer.

You have the right to ask for a copy of the information that any of the four charities holds about you.

Our website may contain links to other websites run by other organisations. This privacy policy applies only to our website‚ so we encourage you to read the privacy statements on the other websites you visit, especially  those of Virgin Money Giving and InPlayer. We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our website.

In addition, if you linked to our website from a third party site, we cannot be responsible for the privacy policies and practices of the owners and operators of that third party site and recommend that you check the policy of that third party site.

We are committed to protecting the privacy of children aged 16 or under. If you are aged 16 or under‚ please get your parent/guardian's permission beforehand whenever you provide us with personal information.
